    1. Who are we?

    Optimex Pro is responsible for the processing of personal data as described in this privacy policy. We process personal data in accordance with the GDPR. If you have any questions about your privacy or wish to exercise your rights, please contact us at optimex@optimexpro.com.

    2. What personal data do we collect?

    When you contact us via a Typeform form or by email, we process the data you provide. This may include your name, email address, phone number, company name, and the content of your message or request. When delivering services, we process the personal data necessary for that purpose.

    Only with your consent do we collect usage data via analytics cookies, such as pages visited, interactions with the website, and technical data about your device and browser. Please do not provide sensitive personal data in forms or emails that is not necessary for your request.

    3. Purposes and legal bases

    We use your contact details to answer questions and requests and to take steps at your request prior to entering into an agreement. For enquiries about our services, the legal basis is taking pre-contractual measures. For other correspondence, the legal basis is our legitimate interest in maintaining contact with you, taking your privacy interests into account.

    To deliver and manage our services, we process the data necessary on the basis of performance of an agreement. Where the law requires us to process or retain data, this is done on the basis of a legal obligation.

    We use analytics data to improve the website solely on the basis of your consent. Your consent is also required for marketing cookies. You may withdraw your consent at any time; this does not affect the lawfulness of processing carried out before withdrawal.

    4. How long do we retain data?

    We do not retain personal data longer than necessary for the purpose for which it was collected. We retain contact requests and related correspondence for a maximum of 2 years after the request has been handled. Data that remains necessary afterwards for an agreement or a statutory retention obligation is subject to the applicable retention period.

    We retain data for our services for as long as necessary to perform the agreement and settle any obligations. Data subject to a statutory retention obligation is retained for that statutory period. We do not retain usage data longer than necessary for website analysis and delete or anonymise it once it is no longer necessary.

    5. Sharing with third parties

    We never sell your personal data. We only share data with processors necessary for our services, such as Typeform for forms, our hosting provider and, after your consent, an analytics provider. They may only process data in accordance with our instructions. Where required, we enter into data processing agreements to safeguard security and confidentiality. We also only disclose data where legally required to do so.

    If a service provider processes data outside the European Economic Area, this may only be done with the safeguards required by the GDPR, such as an adequacy decision by the European Commission or standard contractual clauses with any additional measures. You may ask us for information about the applicable safeguards.

    6. Security

    We take appropriate technical and organisational measures to protect personal data against loss, unauthorised access and unlawful processing. Access is limited to those who need this data for their work.

    7. Your rights

    Under the conditions of the GDPR, you have the right to access, correct, erase and restrict the processing of your personal data. You may object to processing based on a legitimate interest, and have the right to data portability where processing is based on consent or an agreement and is carried out by automated means. You may withdraw your consent at any time.

    Please send your request to optimex@optimexpro.com. We generally respond within one month. For complex requests, this period may be extended by a maximum of two months; we will inform you of this within the first month. To protect your data, we may ask for the information needed to verify your identity.

    If you are not satisfied with how we handle your personal data, please contact us. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl.

    8. Cookies

    Functional cookies strictly necessary for the website to work may be placed without consent. Analytics and marketing cookies are only placed after you have given your consent. Refusing these cookies does not affect your ability to contact us.

    We use the following types of cookies. Functional cookies: necessary for the website to work and to remember your cookie choice; always active. Analytical cookies (Google Analytics): insight into website usage to improve it; only after consent. Marketing cookies (LinkedIn Insight Tag): measuring campaigns and showing relevant advertisements; only after consent. Your choice is stored for 12 months and can always be changed via “Cookie settings” at the bottom of every page.

    You can change your cookie preferences and withdraw consent via the cookie settings wherever these cookies are offered. You can also delete or block cookies via your browser. If you block functional cookies, certain parts of the website may not work properly. Forms hosted on Typeform are additionally subject to Typeform's privacy and cookie information.

    We may update this privacy policy when our services or legislation change. The most recent version is published on this page. The date below indicates when this policy was last updated.
